Import Expenses from CSV
Map expense spreadsheet columns, preview rows, and review import results.
Use the CSV importer when your expense data is already organized as rows and you want to map the columns yourself.
For invoice files, receipt images, PDFs, Excel files, or Word documents, use Import Invoices and Expenses from Files. That workspace also accepts CSV but uses extraction and record review instead of the column-mapping dialog.
Prepare the CSV
Put one expense on each row and include a header row. Use consistent dates, currency codes, numbers, vendor names, and references. Keep a copy of the original spreadsheet before cleaning it.
Do not include invoice totals or summary rows as additional expenses.
Import Expenses
- Open Finance > Expenses.
- Select Import > CSV import.
- Wait for the expense template and available fields to load.
- Upload the CSV.
- Map source columns to the supported expense fields. Check required fields in the dialog rather than relying on a mapping from another record type.
- Review the preview and row errors.
- Start the import and review its result.
A failed template load must be retried before mapping. If a required value is missing, fix the source or mapping before importing that row.
Review Results
Open the resulting expenses and compare vendor, date, amount, currency, category, and reference with the spreadsheet. Check failed rows individually before retrying so successful expenses are not duplicated.
CSV rows do not replace receipt evidence. Attach receipts to the resulting expenses, or use the file-import workspace when you want to extract records from supporting documents and keep the source attached.
