Task Templates

Create tasks with reusable details, subtasks, dependencies, and files.

Task templates save time when the same work comes up often. Prepare the details, steps, and reference files once, then reuse them for client onboarding, reviews, monthly reports, or team handoffs.

Create a Task From a Template

  1. Open Productivity > Tasks.
  2. Choose the task template option.
  3. Select the template.
  4. Review the title and description, and choose the project, status, and priority.
  5. Create the task.
  6. Open the new task to review its assignee, due date, subtasks, and files.

You can also create a task from a template inside a project. The new task stays connected to that project.

What the Template Includes

A task template can save:

  • A description, starting status, and priority.
  • A default teammate or AI Worker assignee, when available.
  • Due days and estimated hours.
  • Custom field values.
  • Subtasks with their own descriptions, statuses, priorities, due days, and estimates.
  • Dependencies between subtasks using Blocked by.
  • Files needed for each new task.

When you use the template, Agiled creates the task and its subtasks, connects the subtask dependencies, and adds the template files to the task. You can then edit the task for the current work.

Due days are relative to creation. For example, 3 gives a task a due date three days after it is created. Subtask due days also count from creation, rather than from the completion of an earlier step.

Comments, activity, and tracked time belong to the work as it happens; they are not template defaults.

Fill In the Context

Replace generic wording with the current customer, project, and expected result. Check that the owner and due dates suit this particular task before work starts.

Keep reusable reference files in the template. Add customer-specific files and instructions to the new task after creation.

Create or Improve a Template

Open Templates > Productivity > Task Templates to create a template or edit an existing one. See Set Up Task Templates for the full steps, including files and subtask dependencies.

If teammates repeatedly add the same missing step or file to new tasks, update the template so future tasks include it. Editing a template does not change tasks that have already been created.

Choose the Right Template

Use a task template when one repeatable task has a set of steps. Use a project template when several tasks or milestones should be created together. Task templates linked inside a project template also carry their subtasks, dependencies, and files into the new project.

Use a normal task when the work is unique or still being defined.

Check Before Reusing

Create a test task and confirm:

  • The description explains the expected result.
  • Status, priority, assignee, and custom fields are appropriate.
  • Due days and estimates match the team's process.
  • Subtasks appear in the right order with the intended dependencies.
  • Attached files are useful for every task created from the template.
