Smart Flows

Templates by Industry

Start from a ready-made Smart Flow to win or onboard clients in your type of business.

Agiled includes Smart Flow templates for common service businesses. Each one is a complete, client-facing set of pages you can publish as-is or adjust first.

Open Automations > Smart Flows, select New Smart Flow, and choose Win a client or Onboard a client. Filter by industry or search, then select a template to see What your client sees before you choose Use this template. See Create a Smart Flow.

Designed editions

Many templates come in two versions. The editions marked New design are photo-led: full-width photo and colour bands, editorial headings, and one of 12 colour themes with 11 font pairings. They keep the original's questions, documents and payment schedule, so pick whichever look suits your brand. Onboarding editions are calm pages made for the client portal: what we'll need from you, who you'll work with, and what happens next.

Designed editions include a sample testimonial and stock photos. Replace the testimonial with a real quote from one of your clients, or remove it, before publishing. Swap the photos for your own work when you can.

Templates to win a client

These take a lead from first contact to a signed, paid client. Most include a proposal or package choice, an agreement ready for e-signature, an invoice with a deposit, and a booking or questionnaire. Filter them with the chips Proposal to payment, Book a call, Lead intake and Renewal.

Some templates go further:

  • Wedding photography takes 30% to reserve the date and the remaining 70% 30 days before the wedding, counted from the date the couple gives. See Payment schedules.
  • Its top collection already includes the second photographer, engagement session and album, so those add-ons read Included in the collection and are never charged twice. See Packages and add-ons.
  • Answers such as the wedding date and venue fill in the agreement automatically.

These apply to Smart Flows you create from the template from now on. Smart Flows you already created keep their current setup.

Templates to onboard a client

These welcome a client who has already signed. Most follow the same path:

PageWhat the client does
WelcomeReads what to expect and how long it takes.
Intake questionnaireAnswers 12–16 industry-specific questions in short sections.
File uploadUploads the documents, brand files or photos you need.
Task checklistConfirms access and preparation tasks.

The Creative studio, Advisory and Coaching templates use their own designed pages, such as a resources page in place of the plan.

GeneralClient onboarding

Client Offboarding, at the end of the list, wraps up a client: what happens next, a final invoice, a file handover, a few last confirmations and a thank-you page. See Wrap up with offboarding.

Apart from Client Offboarding's final invoice, onboarding templates don't take payment. Win the client first with a Win a client template, then have onboarding start automatically when they sign and pay. See Onboard clients.

Set up for you

Use this template creates the records the template needs, so it is close to ready:

  • Forms: intake and questionnaire forms are added to CRM > Forms, split into sections with help text and required fields.
  • Upload folder: added to Files. Every client's uploads land there.
  • Services, proposal and agreement: for templates that win clients, packages are added to your Services catalog and the proposal and agreement to Docs templates.
  • Booking page: your active booking page is linked to the booking step. Onboarding templates prefer one with "kickoff" or "onboarding" in its name. Without an active booking page, the Get it ready to send checklist asks you to choose one.

The template opens as a draft with its theme, reminders and team notifications already set. Work through Get it ready to send, add your logo in Branding, then Publish.
