Send and Share Smart Flows
Send a Smart Flow to a client, give portal access, share a public link, or embed it on your website.
Publish a Smart Flow before sending it or sharing its public link. There are two ways to get it to people:
- Send a Smart Flow to a client you know. They get their own copy by email, and in your client portal if they have access.
- Share a public link anyone can use, for example on your website. Each person who opens it gets their own copy.
Send a Smart Flow to a client
You can open the Send a Smart Flow dialog from:
- the Sent tab;
- a Smart Flow's row menu (Send to a client) or the dialog shown after publishing;
- a contact's header, their Smart Flows tab, or their Portal tab (Send onboarding);
- a project's header.
Then follow the dialog. Its labels use your client's first name; in this guide the client is Jane.
- Client. Choose the client. When you start from a contact or project, the client is already chosen. Select + New client to add someone new. The client needs an email address; if it is missing, select Add email.
- Smart Flow. Choose a published Smart Flow. The list is grouped into Onboard a client and Win a client. Agiled may show one or two under Suggested for Jane at the top, with the reason, for example onboarding for a client who has just signed and paid, or your most-used Smart Flow for a new lead.
- Personal note (optional). Add a short note to the email. The subject and body come from the Smart Flow's settings. Select Preview email to check it.
- Where Jane will find it. Check the box at the bottom. It describes exactly how the client will receive this Smart Flow (see below).
- Select Send to Jane.
Nothing is sent until you press Send. If the client already has this Smart Flow open, the dialog says how far they are. Sending again starts a new copy, so continue the existing one if you can.
Where the client will find it
| Situation | What happens |
|---|---|
| The Smart Flow is set to Signed-in client only | We email them a sign-in link. Only that client can open it, and it opens in their client portal. See Choose who can open a Smart Flow. |
| The client has portal access | We email them a link that opens without a password. It is also in their client portal, with their progress. |
| The client has no portal access yet | We email them a link. You can tick Also give Jane access to your client portal. |
| The client portal is turned off for your workspace | We email them a link. |
| Invitation emails are turned off in this Smart Flow's settings | You get a link to send the client yourself. |
Also give access to your client portal
When the client doesn't have portal access yet, tick Also give Jane access to your client portal. They'll see this Smart Flow, their files and everything else you send in one place.
You don't send a separate invitation. The same email gets a Set up your portal button, so the client receives one email.
The box is ticked for you when the Smart Flow's purpose is Onboard a client, and unticked for Win a client. Change it if you need to; your choice stays when you switch Smart Flows. For a Smart Flow set to Signed-in client only, the box is marked as needed, because the client opens it in the portal.
After sending
The dialog confirms what happened, for example Sent to Jane, and offers View in Sent, Send to another client and Done. When you send the link yourself, select Copy link.
If the email couldn't be sent, the Smart Flow is still created and the client's link works. Copy the link to send it yourself, or try again. If the email went out but the portal invitation didn't, the client's link still works; resend the invitation from their contact page.
Share a public link
A public link lets anyone start a Smart Flow without you sending it first, such as a lead intake or a "Book a call" page. Put it on your website, in your bio or in an email. Each person who opens it gets their own copy, and it appears on the Sent tab when they start.
Open the Smart Flow, open the share menu and choose Public link. In Share a link anyone can use, select Create link, then Copy or Embed on your website. You can also Rotate link or Revoke link. Rotating or revoking the link only stops new people from starting; copies already started carry on, and you manage them on the Sent tab.
For an Onboard a client Smart Flow, the public link sits under More ways to share. Onboarding usually goes to a client you already know, so Send to a client is the better choice. A Smart Flow set to Signed-in client only has no public link at all.
What people who start from a public link skip
Agiled doesn't know who someone is just because they opened a public link, even after they type their email. So:
- Task checklist, Resource library, Grant access and Account access pages are skipped for them. The share panel lists which pages will be skipped. They still work when you send this Smart Flow to a client.
- An instalment set to be due before the project starts is due when they finish instead.
- Their copy isn't added to anyone's client portal automatically. If it really is your client, open it from the Sent tab and select Show in Jane's portal. See Review sent Smart Flows.
Embed on your website
Embed on your website gives you code to place the Smart Flow on a page of your site. Open the page after adding it and go through the first steps, as a visitor would, before sending people to it.
Client emails, reminders, and deadline
Open the Smart Flow's settings and choose Client emails & reminders:
- Invitation email: the email the client receives with their link.
- Reminders: emails on the days you choose until the client finishes. Reminders always link to the client's email link and stop when they finish.
- Completion email: a "You're all set" email listing what the client completed, such as the signed agreement, receipt or booking. If they have portal access it also says that everything is saved there.
- Deadline: ask clients to finish within a number of days. After that, the link and the portal page close. You can extend the deadline for one client from the Sent tab.
Choose a deadline that leaves enough time for the work you ask for, especially signatures and payments.
Use Send yourself a test to receive the same email and link a client gets. Use Preview when you only need to check the layout.
When an email doesn't arrive
Check the client's email address, that the Smart Flow is published, its deadline, and whether it is paused or cancelled on the Sent tab. If an email is held, follow the message shown in Agiled, which says roughly when to try again. See Email delivery issues.
During your trial, the emails clients need to take part reach them as usual: Smart Flow invitations without your own custom text, sign-in links and codes, and reminders. Emails with text you wrote yourself may be held for a while; the message tells you when to try again.
